The Ultimate Guide to Documentation for Self-Employed Mortgage Applications

If you work for yourself, a mortgage file is less about a single T4 and more about proving how money moves through your business. Lenders want a clear picture before they commit.

This is the documentation I ask self-employed clients to gather so we can see where you stand and choose the right next step.

Why the paperwork is heavier

Salaried income is easy to read. Self-employed income is not. Write-offs, retainers, seasonal swings and corporate structures all change what shows on a personal tax return.

Extra documents are how a lender checks that the business can support the payment. They are not a test you fail by running a real company.

Documents every purchase or refinance needs

  1. Government-issued ID.
  2. The purchase agreement, if you are buying.
  3. Proof of down payment with a clear trail, usually about 90 days of history for a purchase.
  4. Current mortgage statements, if you already have a mortgage.
  5. Recent property tax bills, and condo fee proof if you own a condo.

Extra documents for self-employed borrowers

  1. Business bank statements: often 12 months, so cash flow is visible.
  2. Articles of incorporation or a business licence: proof the business is real and active.
  3. Financial statements: a clean view of revenue, expenses and profit.
  4. Personal Notices of Assessment: to confirm filed taxes and any balances owing.
  5. A few client contracts or invoices: useful when income needs a simple paper trail.

Prime path versus alternative path

Prime lenders lean on personal income from your tax filings, often wanting strong numbers across two years. That can clash with tax planning that keeps personal draws lower.

Alternative lenders can lean more on business income and statements. Requirements are usually more flexible. Pricing is usually higher.

Neither path is automatically better. The right one is the one that matches how your income is documented and what payment you can carry.

What helps the file move

  • Keep records current. Out-of-date statements slow everything down.
  • Explain swings early. A short note on a slow quarter is better than silence.
  • Do not open new credit while the file is live. Small changes can shift ratios.
  • Talk before you change how you pay yourself. Raising personal income only to qualify has tax and cash-flow costs.

How I'd think about it

I would rather see an honest file with the right lender than a forced income story for a desk that will not fit. Bring the documents above, tell me the goal, and I will show you the clear next step.

The aim is an approval path you understand, with paperwork that matches the business you actually run.
